Small print
Two parts: our site and gear care small print first, then our full hire terms and conditions.
Part 1: Site access and looking after the gear
Quick checklist
Summary only · the full small print below applies
- Clear your driveway: move all vehicles so we can back the ute/truck up close.
- Clear side access: move bins, hoses, tools and rubbish so our trolleys get through.
- Clear the install area: no furniture, clotheslines, bikes, toys or anything else in the way.
- Do this for both setup and pick-up. If we have to clear it, it's $100 + GST (minimum). Can't clear it? Tell us well before the day.
- Taking the walls down? Fold them into the bag or tub we leave and keep them somewhere safe and dry.
- Look after the gear: footprints, tyre marks and rust marks don't come off and are charged.

Delivery, Installation, Pick Up & Dismantle Procedures.
For both installation and retrieval of your hire equipment, please make sure that the access to the event site and the site itself (underneath and around our marquees/equipment) has no obstructions.
This includes having all vehicles removed from your driveway so that we are able to back our ute/truck up to be as close to the access point as possible so that we may have optimal access to the site where you’d like the marquees installed.
If it is side access (side of a house/building) please make sure objects like bins, hoses, tools, rubbish etc are removed/completely out of the way so that we can wheel our trolleys through the access point freely and without interference. This procedure applied when it’s both time for installation, and also retrieval of our equipment.
Please make sure that the area in which you require us to install our equipment is completely clear of all obstructions and that there are no pieces of furniture, no clotheslines, bikes, skateboards, scooters, toys. tools, or anything else is in the way of where you’re wanting us to install your marquee and place your hire equipment.
We will not clear your event site of obstructions. If this is a requirement in order to be able to install your equipment, we will charge a fee of $100 + gst (minimum) for the time and labour required to clear the areas free from obstructions.
If you’re unable to have all obstructions removed prior to delivery and retrieval of the hire equipment, please be sure to notify us well before your event installation/retrieval date so that we may adjust the invoice pricing accordingly.
Again, this is both for when delivering and installing, and also picking up/dismantling/retrieving your hire equipment.
Damaged Equipment (Frames, Canopies, Sides/Walls)
Unfortunately from time to time we come across equipment that has been damaged and/or dirtied beyond repair, and it brings us no joy to have to charge for the cost of the damaged or ruined items. These mishaps are totally avoidable and it takes very little effort from the event host to ensure that these things don’t happen.
We ask that you please respect our equipment. We understand that sometimes our equipment will be dirty after an event, especially our white marquee sides/walls and canopies, however, footprints, tyre marks (strangely more common than we could have ever imagined) and rust marks from metal objects pressing up against our sides/walls/canopies etc, will not come off and will have to be fully replaced at the cost of the customer.
Often, our customers request that we leave our sides/walls with them so that they have an option to either use them on the day/night of the event, or not, depending on the weather. We are happy to do this, however, we often return to find our white walls scrunched up in a pile and on the ground and covered in mud, dirt, grease, rust marks etc, and are more often than not, irreparable.
To avoid having to fork out extra money for damaged equipment, if you wish to take off our sides/walls at any stage, please fold them up and put them in the bag or tub that we leave with you and then put them in a safe and dry place out of harm’s way. We take no pleasure in having to charge our customers unnecessary and avoidable damage and/or cleaning fees.
Part 2: Full hire terms
Hire Terms & Conditions
Marquee Hire Sydney Pty Ltd · ABN 68 635 124 748 · 1800 749 268 · marqueehiresydney.com
Thanks for booking with us. These terms are here to keep your event running smoothly and to keep our gear in good shape for the next family. They're written in plain English, so if anything's unclear, call us on 1800 749 268.
Quick checklist
- Mark the spot. Before we arrive, mark where you want the marquee with pegs or paint, and tell us about any pipes, cables or sprinklers underground.
- Clear the way. Move cars out of the driveway, clear side access (bins, hoses, tools, rubbish) and clear the set-up area, both for delivery and for pick-up.
- Tell us at booking about stairs, lifts, a carry of more than 20 m from where we park, hard surfaces that need weights, or a same-day or after-hours time.
- Lock it in. Pay your deposit by bank transfer, using your invoice number as the reference. Your booking is locked in once we've sent your confirmation. The balance is due one week before delivery.
- Watch the wind. If gusts reach about 30 km/h, take the walls off. If gusts over 50 km/h are forecast, clear everyone out and call us on 1800 749 268. Never try to take the frame down yourself.
- Leave it as we left it. Wipe and stack the chairs, and wipe, fold and stack the tables under the marquee. No other furniture should be under it.
1. Quotes, Prices and Booking
- Quotes are valid for 14 days. After that, just ask and we'll happily re-quote.
- All prices include GST, and any extras (like stairs, weights or same-day times) are listed on your quote, so the total is the total.
- Locking it in: your booking is locked in once you've accepted these terms (by ticking the box online or signing), paid your deposit, and received our booking confirmation. We'll hold your stock from then. Until then, it isn't held for you, even if you have an invoice.
- Your price is locked too. Once your deposit is paid, your price won't go up. It only changes if you change your booking, for example by adding items or moving to a date that costs more.
2. Deposit and Payment
- Deposit: 25% of the total (including GST).
- Balance: due one week before delivery. We'll send you a reminder a couple of days before it's due.
- Last-minute bookings: if your event is within 7 days of your enquiry, the full amount is paid upfront to lock it in.
- How to pay: by bank transfer only, for now. Our bank details are on your invoice. Please use your invoice number as the payment reference so we can match your payment quickly.
- 3 days before delivery: if your balance hasn't arrived by then, we'll contact you, and we may not be able to deliver.
- No late fees. If something's holding up your payment, just call us on 1800 749 268 and we'll work it out.
- If the balance isn't paid at all: we may not be able to deliver. In that case, we treat it as a cancellation under section 3. That means you'd only lose the deposit (or what you've paid), not the full hire price.
3. Cancellations and Changes by You
Once your date is booked, we hold your stock, turn other customers away and start planning staff and trucks. That's why part of what you've paid is kept if you cancel. The amounts below are our genuine, reasonable estimate of what a cancellation at that stage costs us.
| When you cancel (before your event) | What happens | |---|---| | More than 2 weeks before | We keep your 25% deposit. If you've paid in full, we refund or credit the rest (75% of the total). | | More than 7 days but less than 2 weeks before | If you've paid in full, we refund or credit 50% of the total (your choice). If you've only paid the deposit, we keep the deposit and you don't owe anything more. | | 7 days or less before | We keep the amount you've paid. |
- Rescheduling: if you'd rather move your date than cancel, ask us. If we have stock free on the new date, we'll move your booking.
- Weather: this applies to every cancellation you choose to make, including because of wet weather or a bad forecast. If we call it off for safety, see section 9.
- Your rights stay the same: nothing here takes away your rights under the Australian Consumer Law. If we can't supply what you booked, or the equipment or our service has a major problem, you're entitled to a remedy, which can include a full refund.
4. Events Outside Anyone's Control
Sometimes an event can't go ahead because of something nobody controls, such as government or health restrictions, a natural disaster or an emergency. If that happens, you can choose:
- a credit for the full amount paid if you tell us more than 7 days before delivery, or a 50% credit if you tell us 7 days or less before delivery. Credits never expire, or
- to postpone to another date, subject to availability.
If the restrictions mean we legally can't supply your hire, you can choose a refund instead of a credit, less any reasonable costs we've already spent on your booking. Your Australian Consumer Law rights always still apply.
5. Delivery, Set-Up and Pick-Up
- We usually set up within a couple of days before your event and pack up within a couple of days after it. We'll confirm the times with you.
- Same-day delivery and pick-up costs extra, and the times must be confirmed at least 3 days before your event.
- After-hours delivery or pick-up costs extra.
- Stairs, lifts, or more than 20 m from where our vehicle can park or unload costs extra. Please tell us at booking. We'll include it in your quote, so there are no surprises on the day.
- Please make sure there's legal parking for our ute or truck close by. If there's a parking fee, toll or permit, we'll tell you upfront and only charge you the actual cost. If the marquee is going in a park or another public place, you need to get the council or venue's OK.
6. Clear Access and a Clear Site
For both set-up and pick-up, please make sure the way in, and the spot under and around the marquee, is clear:
- Move all vehicles out of the driveway so we can back up as close as possible.
- For side access, move bins, hoses, tools and rubbish completely out of the way so our trolleys can get through.
- Clear the set-up area of furniture, clotheslines, bikes, skateboards, scooters, toys, tools and anything else.
We don't clear sites as part of the hire. If an area isn't clear, we'll tell you before we start. You can clear it yourself, or we can do it for a clearing fee from $110 including GST, depending on how long it takes. If you know it can't be cleared, let us know well before the day and we'll adjust your quote.
7. Marking the Spot and Underground Services
- Before delivery, please mark where you'd like the marquee with pegs or paint. Allow about 1 m of extra space on each side for pegging.
- Tell us about anything underground where we'll be pegging: water, gas or sewer pipes, electrical or data cables, irrigation, sprinklers, septic tanks. Before You Dig Australia (byda.com.au) is a free service that can help.
- We take care when pegging, but we're not responsible for damage to services you haven't told us about and that we couldn't reasonably have known were there.
8. Ground and Surfaces
On grass we secure marquees with pegs. On hard surfaces (concrete, pavers, decking) we use weights, and we never drill. Weights are an extra cost. The price depends on your set-up (how many marquees and legs, and the surface), so we work it out for each job and show it in your quote before you book. Please tell us at booking if any part of the area is a hard surface. If we can't make the marquee safe on the surface available, we'll tell you and we won't set it up there.
9. Wind and Weather Safety
Pop-up marquees are made for sun and light rain, not storms or strong winds. We keep an eye on the Bureau of Meteorology forecast, and so should you. Always go by the gust figure, not the average wind speed.
- Walls off at about 30 km/h gusts. If gusts get to about 30 km/h, or the walls start to balloon, take the walls off straight away (only if it's safe to do so). Then call us on 1800 749 268 and we'll tell you what to do or come out.
- Clear out at 50 km/h gusts. If gusts over 50 km/h, a storm or a severe weather warning are forecast, get everyone out from under the marquee and call us. We won't set up in those conditions, and we may come and take it down.
- Never try to take the frame down yourself unless we've shown you how. Pop-ups can catch the wind and hurt someone.
- Please don't move, re-position, add to or alter the marquee, pegs or weights.
If we call it off for safety. If we decide it isn't safe to set up because of wind or weather, you can choose a free reschedule to another available date, or a credit for everything you've paid (credits never expire). If we can't find a new date that suits you and you don't want a credit, we'll refund what you've paid, less any reasonable costs we've already spent on your booking. Your Australian Consumer Law rights still apply.
10. Using the Equipment Safely
- No open flames, candles, heaters, BBQs, pizza ovens, fire pits or smoking under or near the canopy or walls.
- No coloured markers, paint, glitter or fireworks in or near the marquee.
- Everything stays at the delivery address, where we set it up. Please don't take it anywhere else or lend it to anyone.
11. Before We Collect
Please leave everything the way we left it at delivery:
- Chairs: wiped and stacked.
- Tables: wiped, folded and stacked.
- Under the marquee: only our hired chairs and tables, stacked. No other furniture.
- Walls and canopy: wipe off any food marks with a damp cloth. If you take the walls off at any stage, fold them up and put them in the bag or tub we leave you, somewhere safe and dry.
We know gear comes back a bit dirty after a good party. Normal dirt and fair wear and tear are on us. What usually can't be saved are footprints, tyre marks (strangely common), grease, paint, and rust marks from metal objects pressed against the white walls and canopies. Walls left scrunched up on wet ground often can't be saved either. We take no pleasure in charging for avoidable damage, so a few minutes of care saves you money.
12. Damage Waiver (Optional)
Accidents happen at parties. For extra peace of mind, you can add our damage waiver to your booking.
- Cost: 7% of your hire fee. It's shown on your quote as a price including GST. It's your choice: just tick the box to add it.
- What it covers: accidental damage to the hired equipment, up to $500 per booking.
- Above $500: you pay the reasonable cost of repair, or of replacement if it can't be repaired, allowing for the item's age. As always, you'll get photos and an itemised invoice (see section 13).
- Without the waiver: you pay the reasonable cost of any damage, as set out in section 13.
- What it doesn't cover:
- theft or loss
- deliberate damage or misuse
- fire or flames
- markers, paint or fireworks
- wind damage where the walls-off or clear-out rules in section 9 weren't followed
- It isn't insurance. It's simply our promise to limit what you pay for accidental damage, as set out above.
13. Damage, Cleaning and Loss Charges
The equipment is in your care from when we finish setting up until we collect it. You're responsible for loss, theft, or damage beyond fair wear and tear in that time, unless we caused it.
If something comes back damaged, missing or needing more than normal cleaning:
- We'll take photos at pick-up, and you're welcome to be there.
- We'll let you know within 2 business days of pick-up and send you the photos. If there's a charge, we'll then send an itemised invoice, and you'll have a chance to respond before you pay anything.
- We'll only charge the reasonable cost of cleaning or repair. If an item can't be repaired, we'll charge a reasonable replacement cost that takes its age and condition into account.
There's no charge for normal dirt, fair wear and tear, damage we caused, or damage from weather we chose to set up in.
Something not right at delivery? Please tell us on the day so we can fix it fast.
14. Our Responsibility to You
Our services come with guarantees that can't be excluded under the Australian Consumer Law, including that we'll provide them with due care and skill. Nothing in these terms takes those rights away.
We're responsible for loss or damage caused by our own negligence or by not meeting those guarantees. We're not responsible for loss caused by misuse of the equipment, by not following these terms, by changes made to the marquee after we set it up, or by things outside our control.
15. Changes to These Terms
We may update these terms from time to time, and the current version will always be on our website. Changes won't apply to a booking we've already confirmed unless you agree to them.
